In order to claim for a service that you have provided, you
need to ensure all the required information (personal and
medical aid details) are collected upfront. Failure to do this
will result in non-payment of the claim or in a worst case,
prosecution for fraud by the medical aid.

can be collected quickly and efficiently and the details can
be validated through the Member Status validation
function. Our training is based on real world examples,
and are presented in such a way that the delegates are
well equipped to ensure errors are minimised.
Then you need to apply the correct coding for the services
you have provided (ICD10 and NAPPI Code). If the wrong
codes are used, the medical aid adjudication process could
reject the claim, flag your practice as suspicious and
ultimately delay all payments due to you.
Not only does Olive Medical have extensive experience in
the required coding, but their practice management
software, Mykit is exceptionally good at helping the user
to select the right codes and to streamline the entire
process by providing the user with the most commonly
used codes upfront. Again, our training ensure that the
delegate is conversant with the various coding standards

Getting the claim to the medical aid is an issue in its own
right. Unless you make use of a quality electronic claim
submission service, the claim could be lost or delayed in
uploading to the medical aid claim processing system. It
could also occur that claims are rejected and the practice
administrator is not notified, with the result that the claim is
not re-processed.
Our claim transaction switching infrastructure is second
to none in terms of efficiency and cost effectiveness. By
being truly integrated with Mykit, the claim submission
process is seamless, feedback immediate and the user is
able to easily identify any possible issue and take the
appropriate action. Faster payment is what it is all about.
It may occur that despite best efforts, a claim is either short
paid (co-payments by patient) or declined (funds depleted)
and you will be required to arrange for payment from the
patient (or responsible person). The sooner contact is made
to arrange payment the better, as it become more difficult
to collect outstanding fees the longer you wait. Despite
their best intentions, patients often forget to make
payment, and the practice will need to follow up on the debt.
Due to the sensitivity behind approaching patients for
payment, many practices outsource this function to
external parties such as Olive Medical. Either way we can
either train practice staff to carry out this function, or
alternatively take over the responsibility for this on a
contingency basis (i.e. our fees are dependent on what we
collect).
Sadly, there are cases where patient refuse to honour their
debt, and should the practice wish to escalate this to a Debt
Collector/Attorney, they will need to provide all the
relevant proof that the debt is valid, the correct process
was followed and that this was the only other avenue open
to the practice.
In these exception cases, Olive Medical are able to extract
all the information required quickly and efficiently,
including details on all contact made with the patient and
any “promise to pay” that was made.
